On behalf of the Commanding General, Gowen Field, Idaho, we take great pleasure in welcoming you to Mobilization, Conference and Activity Center (MCAC). We strive to provide diversity in programming, so our patrons may find entertainment and events to satisfy their tastes. Our fully trained staff can assist you in planning and preparing any type of celebration for our military and their family members, government civilian employees and their guests and civilian guests who wish to experience an event at The Gowen Field Activity Center. Our facilities consist of one large Ballroom, two fully stocked Bars, one Dining Room facility and a large Conference facility to accommodate everything from special events, weddings, business meetings to your small business luncheon. These rooms can host events that can accommodate up to 330 guests in one seating. We look forward to serving you.
Entrance into the Base... Because of recent events, all personnel must have proper identification (pictured ID), proof of vehicle insurance and current registration when entering the base. (Please note that each person in the vehicle must have identification).
Facility Rental
Reservations and Deposits…
Facility reservations can be made by using our online request form at http://gowenclub.com or by contacting Betsy Keshian @ 208-272-4451. 50% of the rental fee and a signed contract are required to reserve your date. The remaining 50% of rental fee is due 10 days prior to the event. All catering fees will be paid in full 10 days prior to the event.
To help assure the success of your event, please review the agreement carefully to be certain that all your requirements have been noted. Any requirements that are not on the contract, are not binding. For large functions, we recommend that one individual be designated to coordinate all requirements with the catering office. Any changes to the agreement should be made only by the person designated by the sponsor signing the agreement.
If a hosted bar is selected, an estimated amount will be included in final payment. The remaining balances of all accounts are to be paid in full by VISA, MasterCard, American Express or cash 10 Days prior to the event. Payment by check must be made two weeks prior to the function. Guarantees...
Event details must be arranged one month in advance of a function. Final guest count, guest list, and payment is due ten days prior to the event; if the actual number of guests exceeds the guarantee given, you will be charged for the additional guests, if the count is lower, the guaranteed amount still applies. Without a guarantee you will be charged for either the estimated or actual guest count, whichever is highest. Catering reserves the right to make menu substitutions when the guest count increases after the guarantee is given. Event rooms are assigned according to the anticipated number of guests. If there are fluctuations in the number of attendees or changes in event requirements, the Catering Office may reassign the event room.
Cancellations...
Cancellation of a function without sufficient advance notice causes expenses to our facility, i.e., purchases of food, labor commitments, ordering of supplies and equipment. Cancellations 30 days out or longer will receive 100% of their deposit. Cancellations received less than 30 days of event but more than 7 days out of the event, will receive 50% of their deposit. The deposit becomes non-refundable 7 days prior to the event.
Payment...
Cash/Credit Card: Cash payment for the balance of your event must be paid ten days prior to your event. Check: Personal checks, your bill must be paid two weeks prior to your function.
Room Rentals for Special Events, Conferences and Meetings…
The Gowen Field Activity Center has sufficient space to accommodate conferences, weddings, banquet and meetings. Wedding and reception ballroom rentals are from 10am to 12am to accommodate event setup. Dining Room rentals are rented in a 4 hour block for private dining.
Room Rentals:
Ballroom – The Gowen Field Activity Center Ballroom is approximately 4620 sq ft and can accommodate up to 330 seated dinners, seated buffet dinners and approximately 400 occupants for stand-up receptions. A podium with microphone is available at no charge. In each category, there are various menus and options which enable you to tailor your reception as you would like.
Cost: $800.00 – Includes the use of the ballroom, patio, lobby area and restrooms; tables and chairs; set-up/clean-up; and cloth linens (napkins/tablecloths) if applicable; podium and microphone.
Dining Room –
The Gowen Field Activity Center Dining Room is located next to our 582 square foot patio/deck. This 1100 sq ft facility can accommodate your club breakfast, meeting luncheons and small banquets up to 90 occupants. Outside patio dining is also available.
Cost: $150.00 – Includes the use of the dining room, patio, lobby area and restrooms, tables and chairs; set-up/clean-up; and cloth linens (napkins/tablecloths) if applicable.
Conference Room –
This 1730 square foot facility offers state of the art audio/ visual equipment to accommodate your business meeting or conference. This facility offers the following amenities:
Cost: $100.00 – Includes the use of the conference room; patio, lobby area and restrooms, tables and chairs; set-up/clean-up; and the amenities listed above. Space is available on a first come first serve basis. The scheduling of the Conference room will be approved based on command facility usage criteria.
Beverage (Bar) Service….
Because of government and local regulations, no alcoholic beverages may be brought into the facility for consumption by guests or patrons. We offer a special bar service, and any type of beverages service that you may need. A private mini-bar for your event is available with your rental of the Ballroom (see fees below).
Cash (No Host) Bar - Your guests pay for their drinks at regular price as they receive them. The Host must sign a contract guaranteeing that the bar makes $200.00, or the host has to pay the facility the difference.
Open Bar/Hosted - Your guests do not pay for their drinks. You pay for the amount they consume. Each hosted bar must be at least $150.00 or more. Open bars may be a pre-determined amount for an unlimited number of beverages during a specific period, e.g., one or two hours.
Consumption (Limitations) Bar - You set a dollar limit on the amount of beverages you wish to pay for. When the limit is reached (as determined by the cash register), the bar is closed, or becomes a cash bar.
Wine and Cordial Service with Meals - Table wines are available for all meals. It is sold by the glass, half carafe, full carafe, or bottle.
The Gowen Field Activity Center East and West Bars are opened to military; and Gowen Field Activity Center Club Members and their family members and guests over the age of 21.

Introduction of Food/Beverage into the Club....
Due to health and safety considerations, regulations we do not permit the introduction of food or beverages by any patron or group for consumption within the facility. With the exception of special occasion cakes, all food and beverage catering will be provided by the Gowen Field Activity Center Catering and remain in the Gowen Field Activity Center.
Gratuity / Service Charge…
A gratuity of 18% is added to the total cost of the food and beverage portion of your function. This fee will be shared among all personnel who supported your event.
Decorations…
Table and floor decorations, such as flowers or balloons, are welcome for all functions. However, because many items in the facility can be easily damaged, items cannot be affixed to the walls, ceilings, doors or fixtures without prior coordination with the catering office.
Liability and Security…
Customers are responsible for any damages to the facility during the contracted times by any of their attendees, employees, or independent contractors under their control or hire. The Gowen Field Activity Center is unable to assume responsibility for damage to, or loss of any merchandise or articles left or sent prior, during, or following a customer's event. Customers need to arrange for security when displaying exhibits or merchandise of value. The Gowen Field Activity Center staff is unable to store or place party favors. No alcohol will be dispensed by anyone other than the Bartender anywhere on Gowen Field, including the parking lot and grounds. Alcohol consumed by Renter or Guests which has not been dispensed by the Bartender will result in forfeiture of the patrons Clean Up/Set Up Deposit and will subject the Renter to immediate cancellation of the function. If deemed necessary the guest may be required to provide security for the event.
